Here we are describing renovation through the eyes of the Customer. We will focus on the process of interaction or in other words – service. We won't delve into the matters of construction procedure or design issues. Our central task is to explain why at the end of renovation our Customer said: "I used to think renovations are hard, but it turned out so easy."
Stage 1. Developing estimate and negotiations. Singing the contract
The Customer had a ready-made design project. This accelerated the process since all the data necessary for estimating was immediately at hand. We held one meeting with the Customer on-site to discuss some nuances and two days later we presented a detailed estimate.

This stage also includes a rigorous analysis for errors and practicability. Projects may have inconsistencies and something can go overlooked. In case we find any disparities we present them to the Customer and take them into consideration when developing the estimate. This project contained a few minor issues that were quickly resolved.
Estimating is a free and essential part of negotiation process. The main reason is that negotiations begin to matter the moment we announce actual costs, volumes of work, and what is on the offer.

We follow fixed-price principle. That means if we leave something out when making estimate, we will have to cover it up at our own expense. That is why we develop budget carefully and take into account everything we need to make the apartment look precisely the way it does in the photos at the end of the article.

What is included in the estimate?
Materials
Rough-in and finish materials. Everything needed for complete renovation.
Works
Like materials, all works to render the apartment a comfy place to live, are included in the estimate.
Components
WC, washbasins, bathtubs, faucets, boilers, lighting fixtures, switches, doors etc.
It took us only two days to finish the estimate and next we met with the Customer again to discuss every point in detail.

As soon as we finalized the estimate we proceeded to signing the contract. Shook hands, received upfront payment, and get down to work.

In some cases, the cost of renovation increases in the process of work and we always warn about that. Leaping ahead, this is exactly what occurred with bathroom wall tiles in this project. The tiles were customized and were imported from Spain, however by the time of signing the contract we didn't yet know their accurate cost in Ukraine. So we discussed the possible increase with the Customer and eventually the cost of tiles happened to be higher than we expected (within 10 000 hrn.)

This way we offer our Customer full disclosure on renovation to let them make their final decision before signing the contract and creating any obligations.
Stage 2. Construction
Every project we have commences with creation of the Customer's Profile which accumulates all information concerning renovation: drawings, deadlines, financing, photo- and video reports and others. Here is an example:
Every project breaks into stages. Usually 4-6. These stages do not only indicate the progress of work but also funding rounds. The number of rounds is chosen by the Customer and is a matter of individual preference: for some it may be more convenient to pay in smaller instalments but more often, while others would prefer to cover up more areas immediately. This project came in 4 stages:

According to this scheme the Customer pays upfront for the cost of materials exclusively, while payment for works is charged upon completion at every particular stage.



Let's move on to records. A project manager is appointed to organise proper communication of work to the Customer. In other words, the Customer isn't obliged to clear up any matters with tradesmen. All the information runs through the project manager instead.



Project manager is responsible for uploading photo and video reports onto Customer's Profile on a weekly basis. Completed works are demonstrated and concealed works (not visible after completion e.g. plumbing, electrical wiring etc.) are fixed in the videos. They are accompanied by comments and a plan laid out for the following week. This is what reports look like on the app:

Now let's talk about Customer's part in renovation. One of the main functions of the Customer is finalisation and approval. Quite frequently there appears a necessity to make a choice or decide on a particular course of action concerning some ergonomic, aesthetic or functional aspects. Naturally, this cannot be done without Customer's approval. Which is why, we prepare a comprehensive review of the matter including sketches, photos, and samples before presenting them to our Customer for consideration.
Example: selection of RAL colours for wall paint, re-approval of a particular finish material, selecting door furniture etc.
We send a detailed description of options or other matters via email or messenger – whichever the Customer finds more preferable. This is what it looks like:
Stage 3. Renovation completion and turn-over to the customer
The final stage of renovation is always the most stressful for us. Primarily because we have to simultaneously arrange a huge variety of works. However, for the Customer this is a totally different period.


We confirm the date of turn-over in advance. The Customer arrives to see a tidy apartment after final clean-up. We have a walk through the apartment, sign the final Certificate of completion upon which the final payment is made in accordance with the contract. That is what the flat we have discussed in this article looked like on the last day:

The closing date was initially July 30, There was a delay with the delivery of Spanish wall tiles. The supplier blamed logistical problems on the pandemic, which really seems to be the case. There was a short delay with engineered wood delivery as well.


Finally turn-over too place on August 21, 2020. Total renovation period – 116 days, slightly more than 3.5 months.
The apartment is now under warranty till 21.01.2022
That's how renovation went for our Customer. No big deal, isn't it? The Customer said: "I used to think renovations are hard, but it turned out so easy."

How we did a contemporary renovation of a rental apartment and how much it cost
